Abbreviations and locations of special areas of the Perkins Library System, including branches, professional school libraries and formats.
This department includes Circulation, Reserves, Current Periodicals, Newspapers/Microforms, and Photographic Services in PerkinsLibrary.
Accounting (unit in Acquisitions/Serials) -
Responsibilities: Key all payments through INNOVACQ, manage automated files and programs for writing checks and forwarding accounting data to the University General Ledger; maintain the integrity of payment procedures for all purchases from the collections budget; provide accounting support to Fuqua, Law, and the Medical Center Libraries by carrying out the check writing process and transferring accounting data electronically to the General Ledger.
Acquisitions/Serials Department -
The mission of the Acquisitions/Serials Department is to provide management and control of all serials received by the Perkins Library System and to carry out the purchase process for individual monographs,sets, and serials.
Added Copies (A.C.) -
An "Added Copy" will have the same location as the title already cataloged. Indicate clearly that an additional copy is needed ("AC"), in order to avoid having it rejected as a duplicate.
Added Locations (A.L.) -
"Added Location" is the term used for a title already held by one Perkins library location, but is being ordered for another location. Indicate that a copy is needed for another location (e.g.,"AL for pref").
Added Volumes -
Volumes ordered and/or volumes processed to be addedto a series/set which has already been cataloged for the collection
The Administrative Council, a standing committee chaired by the Perkins System Executive Group, will advise the University Librarian on major program and administrative policy issues, budget, personnel, and long-range-planning. In addition, Administrative Council meetings will serve as a forum for interdepartmental communication.With the creation of Administrative Council, the Management Council will no longer meet. The Administrative Council held its inaugural meeting on 1 November 2001.
Analyzed Series/Set -
A Series/Set in which each volume has an individual title. Each volume in such a series or set may be cataloged (or "analyzed) Analytics may be made under author, title, or subjects. These entries are supplementary to the main series title. See also Series.
Appropriated Funds -
Appropriated funds are those monies received from the University. The funds for collections are divided into major budget lines: serials (periodicals, continuations, etc.) serials (analyzed series and sets), monographs, books in large sets, binding, exchange, library working tools, lost books, postage, and access. The access line was established in 1993 to cover expenditures for interlibrary loan transactions, database searching, document delivery, and other means of electronic access.
An approval plan is a contract the library makes with a vendor for it to supply the library with certain categories of books as they become available. These arrangements are called "approval" plans because the library is not obligated to keep the books: each book can be approved or rejected by a Subject Librarian. The categories of books to be sent vary from one vendor to the next, but generally involve such things as: specific publishers, subjects, and countries of publication; price ranges; language; level ofinterest; and whether the book is published in a numbered series or set or as a separate monograph. All of the categories that apply to a particular approval plan are described in a profile, a document that details what kind of books are to be sent, what will not be sent, and any exceptions that may apply.
